Multiple steps in instance monitoring

asked on January 15, 2019

I have a user that is not pleased with the multiple steps result in the monitoring screen of forms.

They specifically want to be able to quickly report what step a form is on and claim to have never seen the "Multiple steps" value. I explained that this was because their form uses a sub process but they claim to have other forms that use sub processes the only difference being they only contain one form where as this one uses multiple forms.

Is there any work around to display the last step only or can you give me a detailed explanation of what is causing the multiple steps to show.

I second what Jason said. The easiest way to appease this user is to build them a Custom Report instead of having them go to Monitoring. If that is still unacceptable, you can create a hidden field that tracks status and just add that as column in Custom Report. Monitoring still won't do that for you.

The "Current Stage" approach might be the easiest solution because it would only require adding a column to the monitoring view.

As an example, if I put all of the parallel tasks in a Stage called "Approver Review" then the Current Step would show "multiple steps" but the Current Stage should show "Approver Review"

The Custom Report is definitely a viable solution, it probably just depends on what the users prefer.

Even if I build a custom report in Forms, it says "Multiple Steps". How do I avoid it please?

Thanks,

Priya

"Multiple Steps" is displayed because there are multiple active steps. The sub-process and/or multiple forms is not the issue, instead it's a matter of having parallel tasks active at the same time.

Forms cannot display anything other than "multiple steps" because there are multiple values for "current step" and singling out a particular step would be inaccurate.

As far as I know, the only way to avoid this completely would be to have no parallel activities in the business process so there could never be multiple values for "current step."

If all of the parallel activities are put into a single Stage, you can add that to your monitoring view; that way even if multiple steps are active, you would only see a single "active" Stage.

"It can't be done because it's hard" is a common excuse at Laserfiche. Wish I could use that at my job.

Interesting. At my job we usually just try to find a solution.

Wishing never seemed to be an effective strategy, but I wish you luck nonetheless!
