Forms - Default/Global Settings (Feature Request?)

Hi,

Are there plans to include the following to Forms?

  • Global Save to Repository defaults
  • Email Sender defaults

 

We are working with a large number of forms and would benefit from not having to configure the Repository Profile for each business process. If we could setup a default connection profile in the FormsConfig section would be great.

Having to enter the "From" address field on Email Service tasks is also time consuming. Can we not leave this blank and use the default settings configured in the FormsConfig section? User tasks that include email notifications use the default settings so curious to know if the same could be done for Email Service Tasks.

 

We have developed our own PHP site to parse the Forms Business Process XML files and present the end-users with fields to modify the Forms Business Process values but having to configure the Repository Profile for each form (Username and Password) still takes a long time and this solution may not be bulletproof for future releases of Laserfiche Forms!

I would like to 2nd the request for a default connection profile, and to allow users to configure data sources.

Thank you for the feature request. We have heard this request before and are looking to implement it in a way similar to external data sources. An admin would be able to configure global repository profiles and choose which processes were allowed to use them. When a process designer adds a save to repository step, they could select from the available list of global repository profiles or use an ad-hoc one for that process.

I think this would definitely ease the situation to some degree. However, the requirement for admin intervention gets to be more and more tedious the more we utilize Forms (even just within IT).

For example, a non-admin user creates a form, then they have to contact an admin user to assign the data source, add the repository profiles, etc.

What would I would love to see (for profiles, data sources, etc.) is to not just grant processes access, but also give users/groups rights to add those resources in their projects.

One use case is as follows:

  • I created a data source and a repository account for HR, which they use on all of their forms.
  • Instead of having to add both every time they create a new process (which happens quite often) I could give their group rights to add it themselves.

 

I imagine this would require a new interface, like a page in the designer that lists the Data Sources and Profiles available to the forms process, but the way I envision it, from that interface they could:

  • See which Data Sources/Profiles have been added to the project
  • Add/Remove any resources they have been given explicit rights to
    • If a resource was added by a System Admin already and the user doesn't have explicit permissions, then they cannot remove it
    • If a resource was not already added and they don't have access, then it would not appear on the list when the try to "add" a resource to the project

 

I think this would provide a good balance between Admin control and user self-service; it still maintains security as far as who can create/delete, but it also gives us the option of allowing trusted non-admins to at least utilize some of those resources without intervention.

Our non-IT users don't think much of it so that is more of a headache for us, but some of our developers view it as a major road block when working on their projects.

Has any progress been made on adding global repository profiles to Forms? We have several customers asking for this.

Hi Jared.

Could we also please add global 'regional format' settings for a Forms server, so that things like Date Field defaults to 'dd/MM/yyyy' when added, or Currency Field has a default always when added, for example.

At the moment we have to remember to amend this every time any date field is added to every form.

Repository profiles should be coming with Forms 11 Update 5. I'm not sure about the Email Sender defaults.

That would be a helpful source so we don't repeat requests, can add more to current ones, etc.

I agree that this would save a lot of time, and I can't believe I never thought to ask about it before since it has always been a bit of a pain lol. However, one thing I would add is that there should be an option to restrict access to individual saved repository profiles.

As an example, I have people outside of IT building forms who shouldn't have the ability to save to certain folders/repositories. We don't give them the credentials, so saved profiles would make our lives much easier, but we also don't want them using the profiles we have for other processes.
