Question

Question

Can a repository be exported to a windows folders/files structure?

asked on December 15, 2018

I have a client who's purchased an alternate solution to Laserfiche. It's apples and oranges, but they're going to proceed regardless. They want all of their data, including folder structures, files, and documents, as well as metadata.

I can see where it would be possible to write an application to do so, but does anyone know of an alternative, more expedient solution?

Thank you.

Hi Bipin,

I apologize for not getting back to you sooner, been very busy.

I did indeed purchase Ben's app and it works like a charm. Well worth the money, believe me.

I personally recommend using Ben's app; it'll make your job so much easier.

Hope you're successful.

Hi Carmine,

Thank you for the update. We are thinking of doing a Download --> folder content and then selecting only documents (leaving the text/images).

Anyways, good to know about the availability of Ben's app.

Thank you.

Hi Carmine,

You're right; it's not an especially difficult piece of software to write. Writing a user-friendly and configurable interface, and the export format were the most time consuming elements. So, if you have a week and the in-house skills, I'd recommend doing it yourself.

Otherwise, I wrote a Laserfiche export tool for a customer recently. They wanted the data exported in a CSV, which worked fine as they weren't using field groups or multi-value fields. But if you are, then, exporting the as XML would be better. Has a structure for the exported metadata been defined yet?

Regards,

Ben

Hi Ben,

We are looking for a similar kind of software that you supplied to Caramine. Can you provide me more details if possible? We want the documents to be exported to a folder structure and an XML file is generated, containing the metadata, and a link to the exported documents.

Hi Praveena,

My software does all of that. I've sent you a message with my email address

Ben,

Greetings!  I am finding that a client is deciding to not renew their LF license, and wants to export the repository to the network.

I am sure I could spin through the API and do something similar, but why reinvent the wheel?  I would be interested in having a dialogue re: your utility.

Thank you!

Hi, Ben. I’m not sure what you mean by structure. Are you referring to mapping columns?

My primary difficulty is determining the folder structure; where the path information is stored for files to which Windows folders are named with a hexadecimal naming format.

Hi Carmine,

The target solution might have an import tool that requires a particular format for the metadata. Or, if you've engaged a third-party, they may have defined the format they expect to receive the metadata in. So, I was asking if you had to export the metadata from Laserfiche in a particular format or structure. For example:

  • Column mapping
  • CSV or XML
  • One file per document or a file for an entire set

Laserfiche have published how to map the hex to the files but unless you have a strong necessity to go direct to the file store, I'd recommend using the Laserfiche API so you don't have to worry about the hex and file locations.

Hi Ben,

The client wants their metadata, client name, client number, etc., to be imported into a Thompson accounting database. Not quite sure which Thompson product at this point, but I'll find out tomorrow.

The brief conversation I had with Thompson revealed they would like to know how to rebuild the virtual folder structure provided in Laserfiche to an actual, identical, directory structure in Windows. In addition to the metadata, of course. I'm not sure if they're interested, or even have a way to accommodate the OCR information. Again, I'll know more tomorrow.

My client uses a few templates, but for instance, their primary template consists of  Text, 80, Text, 20, List, 20, List, 31 fields.

To which data type would they like them exported? I'm going to guess common fields like name will stay strings. The integers, dates, etc., don't know yet, but I'll get that information tomorrow as well.

My biggest issue is they want this done by the end of the year. I commend you on your ability to whip something together in a week, but my programming skills don't extend to that ability. Not a week.

I'd like to continue this dialog, if you don't mind. May end up needing your application for expediency sake.

Thank you for responding.

Hi Carmine ,

Did you manage to crack this? There is a customer who is looking to do the same. A different third party software thou.

Thank you.

Hi Bipin,

I supplied some export software to Carmine. Documents are exported to a folder structure and an XML file is generated, containing the metadata, and a link to the exported documents. Is that the kind of thing you had in mind?

We have recommended a folder export option from LF client. Waiting for a response.Anyway, thank you for letting know of the availability of your app.

Bipin
