Streamline Laserfiche imports from Outlook desktop client using Office plugin buttons

Hello everyone, hoping someone can help us. Our end users are using the Outlook desktop client with the LF Office 365 plugin to send emails from Outlook to the repo. They always send to the same repo folder and apply the same template, same volume, etc., and we'd like to streamline the import process as much as possible to reduce the # of clicks and options available to the end user to 1) reduce potential user error, and 2) clean up the process. 

Right now the LF import options popup appears for each email and each attachment, so if the end user is highlighting 5 emails with 2 attachments each, and then clicking the 'Import to Laserfiche' button, they have to approve the same settings and defaults on the import popup, which appears 10 times in succession. 

Is there a way to set a series of defaults for path in the repo, volume, template, etc. for all imports from the Office plugin buttons in Outlook? 

Also, is there a way to automatically import attachments from the same 1-click Laserfiche import buttons in Outlook, or does that have to be a 2-part process, i.e. one click to import attachments and one click to import the email itself?

A repository administrator can set a default import folder. See this page in the help file.

Hello, thank you. I've noticed that when we change the Outlook Import options according to the resource you linked, both in the Admin console and the Web Admin console, the end user is still presented with the above prompt for each email and each attachment. The end user is also able to modify any of the settings. 

 

What we'd like to do is force the settings so that the end user isn't presented with the popup dialog boxes, because in our process it isn't unusual for an end user to attempt to import 3-4 emails at the same time (sometimes more), and when they do, if each email contains 2 or more attachments, the number of dialog boxes the user must respond to increases exponentially. 

 

Is there a way to not have those import dialog boxes appear at all by setting the defaults elsewhere in Laserfiche? Since the defaults won't ever be changing in our case at all?

Hi Chad,

 

You can try to configure it in Laserfiche Windows client. In the menu bar, open Tools->Options, then options dialog prompts.

  • Navigate to the New Documents->Outlook, there are some settings for default behavior to import email.
  • Navigate to New documents->Name conflicts, there are some settings to how to handle when name is conflicts.
  • The settings above are per user.

 

If you want to save emails into same folder, you can configure a default folder with user attribute: [Settings]DefaultEmailImportFolder.  The user attribute can be set in Everyone. If the specified user is not set it, it will use the user attribute in Everyone.

 

After configuration, you can try to click "Save to Default" folder, then email will be imported with the default behavior configured.
