Question

Save form without attachments

asked on November 6, 2018 Show version history

I have a spot within a Form Business Process where I would like to save the Form at that step, but there are many attachments included that I don't wish to save at that specific step.

Is there a way to save only the Form information with the Save Options set to Save as: "No Form" and ignore all attachments?

I want to note as well I am trying to avoid creating another Form within the Process that doesn't contain the upload fields.  But I will create another form if I must.  Just trying to avoid editing x amount of forms for future expansion.

I'm not sure this is is currently possible. From what I've seen, if a Form has file upload fields, they are automatically included, so the only option may be to create a copy of the form and remove the file upload fields from that version. It does seem like something that should be available since I believe you can do it the other way and save an uploaded file without the form.

Thanks for verifying Jason.  I didn't want to copy the form and remove the upload fields to use that version without checking here first.

That's the process I have always used, I copy the form and remove any unwanted fields before saving that version of the form to the repository.

@████████ how are you able to only save the uploaded files without the form?

I am using Forms version 10.3.1.635

@████████ when you’re configuring the Save to repository task, select a form, but uncheck the box next to where you choose PDF or TIFF and it won’t save the form at all.

I just figured out a new way to not save the attachments.  I created a final form in the process and removed the document Upload fields.  When you choose that form in the save to repository task, there are no attachments.

Pretty crazy that we can't just not save attachments, but here's a workaround I'm using:

  1. Make a folder in your repository, I called mine "Purge Box"
  2. Make a workflow that deletes the starting entry (maybe wait to click the purge option until after testing)
  3. Setup a rule for it to run on any entries that are created with a path that starts with "...\Purge Box\"
  4. Test, update workflow to purge if you were cautious on step 2.

Now you can throw all the attachments you don't want to keep in there without building duplicate variant forms.

I had a particular use case where I wanted to save the form which showed image previews of uploaded files, but I don't want to save a file for each individual picture. So of course it wouldn't do to try to save a form with that field removed.
