Hi all, as part of our ongoing commitment to GDPR and specifically personal data, we are looking at how we can best control who can print/export certain documents containing personal data (e.g. passports/utility bills/bank statements etc where DocSubType = “personal data documents”) either at a Folder level, Document level or User level (either would work). We are in Laserfiche Avante (with the LF Connector add-on).
From my research, it appears that both the Print and Watermark (on export) function for documents is an “all or nothing” setting, across every document in Laserfiche (not for just selective documents)?
Ideally, we would like:
- the Print function to only be available for documents other than the “personal data documents” - unless you are granted that authority to print those (via a User Group); Any other document should be allowed to print as normal.
OR
- the Print function should apply a Watermark across just the “personal data documents” specifically, to say for example “Internal Document Only” – unless you are in a User group with authority to print without a Watermark (via a User Group) All other documents should print without a Watermark as normal.
AND
- the Export (outside of LF) function should apply a Watermark across just the “personal data documents” to say “Internal Document Only” – unless you are granted authority to export without a Watermark (via a User Group)
I realise you can restrict which user/user groups can be assigned the Print or Watermark function, but still those functions apply to everything printed/exported in Laserfiche (not selective documents).
Presumably other LF colleagues have experienced this issue as well – how is everyone dealing with the issue of monitoring/controlling printed/exported personal data?
Hopefully someone has a neat solution?

PS I realise the above will still not stop a user sending out a document with our Watermark all over it
