Workflow to Email Multiple Individuals

We currently have a workflow to search employee files to find compliance items that have expired, or are close to. As it stands now the workflow emails a number of set supervisors the list.

What we would like it to do now is actually email the individual their compliance items that have expired, we have a SQL table with employee names & emails but I cannot work out how to email individuals that are found in the initial search.

Any tips or suggestions would be appreciated.

Can you create a new token "email" in the "Expired Compliance" token - I assume that each expired entry has the "owner" of the document, so if you assign a token there, you can set the Email activity within the For Each Entry meaning that for each entry found a new email will be sent to the owner of the expired document.

Thanks - I hadn't thought of that. The only thing I can see that would be a problem is that one employee could have multiple items expired, if I use the For Each for the email they would receive multiple emails.

For Example: in the second image Leigh has 4 expired items, ideally I would only want one email with all the items.

Can I place it all in a token with For Each so that it builds a list of expired documents and then emails the employee once? If so could someone give me an example of the workflow?

Hi Daniel,

Did you ever find a way to accomplish this. We are newer to laserfiche workflow, but I am trying to setup something similar. Would like to email staff a list of their documents that have been deleted within a specified time frame utilizing an html table in the email.

Creating an HTML table is discussed here.

However, getting the data for it is likely not possible. Once a document is deleted, you can't read its fields to see who you should be notifying.
