Question

excel import

asked on October 30, 2018 Show version history

Hi there,

I have seen a lot here about workflows to export information into an excel book, but is there a way to use excel to populate information into laserfiche?

For instance, I have an excel sheet that contains a list of names in one column. What I would like to do is have laserfiche grab the information in the rows of that column, and populate folders based on the names. Is this at all possible to do?

Thanks.

Hi Sue,

If you setup the Excel sheet as an ODBC data source, then you can reference this in a workflow or Quickfields.

Hope this helps!

I used workflow to make folders and assign metadata from an excel sheet.

However, I did send the excel document to IT support to have them put it on the server so I could access it via workflow.  To my knowledge, it stayed in excel format.  If the format was altered, it would have been changed to a csv file.

I was able to access the database and create folders with metadata.

I am working on this now but am having issues... I have it set up just like above, and I can create all of the entries from all of the rows, and even name each document (in the Create Entry part) from one of the columns.  But the Assign Field Values won't work.   It won't assign a template or put the info into the fields.  I've tried all of the different settings, checked permissions, and it makes it but the Assign Field Values info is ignored.  Anything I could be missing?

Check that the assign field activity is running on the current entry, not the starting entry. Easy one to miss wink

Thanks for replying.  In my workflow, I've got the option to assign field values to:

Starting Entry, or Other Entry which has either OutputEntry or Destination.

I've tried all 3 of these options, and none of them work.  Any ideas?

I've attached a screenshot of what I've got.

First, on the Assign Field Values, you want to Assign Field Values To Other Entry (Create Entry - Output Entry).

Secondly, you need to make sure that the data in the Excel Street Address column does not exceed the width of the LF Street Address field.  If it does, then make the field wider.

Thirdly, if the date field formatting is not MM/dd/yyyy, then use the token editor to format the date to the correct format.

Finally, look at the Template/Field security and make sure that the user in the Workflow connection profile has the needed rights to both the template and fields.
