Purge Completed Forms

I'd like to put forward a feature request for including some controls that give the ability to set the retention of completed forms processes.  Right now all Forms instances are stored indefinitely.  I've read some other threads about how to purge completed instances but if feel doing this within SQL is inconvenient and dangerous.  I think there should be some controls for Admins/Process Admins to use within the Forms interface.  Some options (per each process) might include:

  • Retain completed forms for x number of days
  • Purge completed forms from date x to date y
  • Purge all completed forms

Thoughts?

We will be introducing a way to set the retention period for

  1. Files uploaded to the Forms database (so large files can be stored in the repository and removed from the Forms db)
  2. Submitted instance data (for policy requirements on how long to retain customer data)
  3. Entire instance history (to clear up instance history from old or trivial instances)

 

An admin can set these at the global level, or a process designer can set these at the process level.

An admin will also be able to lock this setting so a process designer cannot override it.
