WF Find User configuration in a multiple DEV-TEST-PROD environment

asked on September 20, 2018

I regularly develop Workflows at customers that do have multiple environment like Development, Test/UAT and Production...

This "Find User" activity is just one of many other activities that do create challenges when it is present in a Workflow, and it using the local repository, and that we need to transfer Workflows to another environment.

Let say I have 25 WFs to transfer to another environment, this mean that we need to transfer them, then open every one of them and modify the "Search in" parameter and save them.

I would like to ask Laserfiche if they can implement some sort of global parameter for every "Repository specific" activities, so this would allow a seemless transfer between environments.

I think this could be implemented with Create/Modify Tokens, Invoke Workflow, and passing tokens to and from the Invoked workflow. I've gotten in the habit of doing all the work in my workflows with Create and Modify Tokens instead of using the tokens from other types of activities directly. It makes larger workflows easier to manage when there's a single token for a datatype instead of chains of activities feeding their tokens to each other.

I did a quick test with the workflows in the screenshots, and it seems to work.

No problem. It was an interesting challenge. There is one downside. Every time you invoke all of your workflows Laserfiche Workflow will log activity on that external shared tokens workflow. When you search the history of workflow activity it'll have that external workflow on all of them.

If there's a way to turn off logging for a specific workflow I haven't found it.
