Workflow and client search return different results

I used the web client to build my search syntax for use in a workflow that manages documents based on their review date.  The search criteria used returns three documents (two Word, one PDF) when used in the web client and only two documents (the Word docs) when used in the Workflow.

I confirmed the two returned were the Word docs because they were the ones copied to the checked-out folder by the workflow.

Why am I not returning all the documents from my search when using Workflow?

Solution is at hand!  Much as I'm ashamed to admit it, I was only returning first 2 results instead of All Results.  Second set of eyes is invaluable!

My first guess would be either Access Rights or Search Settings (fuzzy search, etc) that are different between the user account you are using in the Web Client versus the user account you are using in Workflow.

Scott,

User account in Workflow is Admin LF repository user.

User account in web client is my admin domain user account. 

Both have same rights to the folders in Laserfiche (origin and destination).

I used same search syntax in web client as in Workflow no other settings.

Still looking for some thoughts on the discrepancy in the search results based on the additional criteria provided above.

Any security tags that Admin doesn't have? If you log into Web Access as Admin, do you get 2 or 3 documents?

Hi Miruna,  Logging in as Admin I get the three documents when I do the search.

This month's search missed three of the five documents it should have caught in the WF search activity.  If I run the search using same syntax in both WF and Web Client I still get discrepancy between returned results.  WF shows 2 and Client shows 5.  It should be 5 based on the review dates of the documents.

And this month, it captured the PDF document in the WF search, which is different than last month when it excluded the PDF.

Any additional thoughts on this as to where I might trouble shoot?

Could you contact your reseller and take it up to Tech Support?

I'm having same problem BUT not for the same reason - I already checked the results should be returning All Results. I get 184 in client and 6 in workflow.

 

Search syntax is:

{LF:Created>"1/1/2020 11:59:59 PM"} & ({LF:AssociatedPages="Y"} & {LF:OCR=none}) -{LF:LOOKIN="citycor\Daily Work"}

 

I added the time same to the date string thinking that would help, but it didn't change the results.

 

EDIT: I tried it in the windows client and also got a small number of results. After removing the date criteria (in both windows client and in workflow), I got better results. Something weird going on with dates - I noticed that about another workflow I was using. I'm going to check if it's set up to be European or something.

 

Edit again: Still getting fewer results than expected. 229 in workflow vs 484 in client. It's difficult because you can't exclude a folder in your search without using the syntax, so I can't build the search bit by bit in the client.

If you log into the client as the same user specified in the Workflow connection profile, how many hits do you get?

Miruna, I'm a dunce ... it was including subfolders! Ok y'all - syntax is {LF:LOOKIN="folder full path", SUBFOLDERS=0}
