Direct Approval Email Out of Office Message

asked on July 23, 2018

We encountered a situation where a direct approval email was sent as part of a Forms task. The email was seeking "Approve" or "Reject" as the response, but since the user had his out of office auto-response set, it responded with his out of office message and so the Forms email responded:

'The action '[Out of office message]' provided in your email approval is invalid. Please reply to the email with one of the following actions: Approve, Reject."

Is there a way for Forms to disregard out of office messages?

If an email gets sent in response to the one from Forms asking for direct approval, it is going to throw the error you've listed.

You can configure your OOO to exclude responding to the Forms emails using Automatic Reply Rules, but that has to be configured on the Outlook (or email provider) side.

I think it would be better if Forms could handle OOO messages. This would allow Laserfiche Administrators to build escalation branches into Forms BPs, e.g. "if you receive an OOO reply, assign the task to this backup person."

Both the initial request (to not consider them) and the additional request to do something if OOO emails are returned are good ones. We can look into them for a future release.
