Question

Ability to Split the add 'as a new version' and 'overwrite existing Docuemnt'

asked on July 9, 2018

Hi Guys

I have a client who would like to make an area where existing documents in here are not editable/over writable  "read" if there are amendments to the documents it would force users to add all documents as "a new version" so that version history is available.

I have set all new documents to have version tracking on by default, and the user has the modify right, but users can still overwrite existing documents that were created before this change.

Does anybody have any tips on the best way to do this?

Kind Regards

Hi Anthony,

Configuring a folder to make sure all documents are versioned by default only applies to new documents. If these are documents that already existed within that folder, you will need to also enable versioning on them independently. Once that's done, only 'save as new version' should be available. You can select all the documents and enable version tracking in one operation, so you don't need to go document by document.

Hi Justin

If i am to apply version tracking to the files in the sub folders also, the user can still overwrite the existing file, from initial testing.

How can i apply this fix to a folder with multiple folder levels as it only seems to apply to one level of sub folders.
