Mass email problem

Hi there,

A few weeks ago, we encountered a mass email problem.  I still can't figure out what caused this to happen.  

Here is the workflow (starting rule: an entry is created in the FIN/IT folder - this is where a submitted form would be saved):

 

A database table (used in the Query Data) activity above has the form name, the email address to send the submitted form to, and the department.

We noticed that emails were being sent out every 10 seconds for every form that we had listed in the database table.

We think that a random form submittal triggered the workflow to launch, but we are not exactly sure.

Has anyone experienced this?

Any ideas on what may have caused this?

Do you have any suggestions on what we can try to prevent this in the future?

It's hard to say without seeing the properties of your activities, but it sounds like your query may be too generic and returned more results than you expected. If you look at the instance details, it should have information on how many results were returned in your Query Data.
