Workflow: Assign Rights activity doesn't show Laserfiche Directory Accounts when browsing

asked on March 30, 2018

Trying to configure the Assign Rights activity to assign entry access rights to Laserfiche Directory Accounts. However, when we click the Browse (...) button, the list shown is very limited and doesn't display the items in the Admin Console > Users and Groups > Laserfiche Directory Accounts. It only shows repository users, groups and AD accounts.

Can we still use a Laserfiche Directory Account's username as a token and expect it to work, or is there some other trick needed?

What Trustee Directories do you have set up in the Workflow Administration Console?  For example, we have a directory set up for our AD accounts, and we have a directory set up for the specific repository we are working in.  The directory for the repository should how you the LF users.

Yes, I thought about that, but it doesn't seem possible to add LFDS as a Trustee Directory.

Workflow does not currently support LFDS trustee directories. It pulls the user list from the Laserfiche repository specified in the connection profile. So you should be able to see LFDS users after they've logged into Laserfiche once.

Can I enter their names into the input box as a token? For example if I know the user is Robert Mueller, can I convert that into rmueller (the LFDS username) and then assign rights that way?

No, they'll be looked up in the repository which does not store display names.

Hi Miruna. Curious if there have been any enhancements here, though I think I know the answer. I've created some LFDS groups and added them to my repository, but Workflow is unable to see them. Is there any way to use LFDS groups in Workflow's activity to set security? WF and LF are both 10.4, although LFDS is still 10.3.

Thanks.

Do you get an error when the activity runs? The Laserfiche Server is trying to resolve trustee names, first locally, then using its configured LFDS, so the activity should still work even though you can't browse for those trustees at design time.

Thanks, Miruna. Typing in the names didn't occur to me, I just tried to use the picker. Yes, it works typing in the LFDS group name.

We're encountering this same issue and I was checking to see if there was any further information.  Is this going to be addressed on any upcoming releases?

We've gotten by so far by duplicating our Directory Server group accounts as repository groups and linking them, but it's creating a bit of a mess as we expand.  In some cases it's even difficult to differentiate whether you're picking the repository group or the LFDS group.  Not the cleanest approach.
