Question

Permanent retention schedule

asked on March 28, 2018 Show version history

Hi all,

I am trying to set up "permanent" retention schedule in RME , but when I go to "Properties" > "instructions", I still have to specify a certain number of months I need to retain the records for. Can you please explain why? Also, I have read that "Final disposition" >"None" is not the same as permanent retention. How do I then set up this type of retention properly? Thank you for you help!

This may or may not be the correct way to do it but I just go into the Record Series Properties for the folder and check the box for Permanent.

Jennifer is correct. For more information on working with permanent records, please see this Help file. If you are using the Web Client, the interface looks like this:

Karina, thank you for the answer. However, permanent records are not necessarily vital records. Can you please clarify?

I have edited my response above. To clarify, permanent records cannot be assigned to a retention schedule with a Destruction final disposition. The vital records option is for those records that require periodic review.

Thank you for clarifying. It looks like checking off the "permanent" box and choosing "retention schedule" > "none" is what I need to do. Thank you both!

Karina, Are there plans to make permanent records functional for simplified records retention, or is it intended only to be used within a record series?  Thanks.

Hi James,

I don't want to derail this thread too much with this separate topic but I can tell you that the checkbox for permanent records is available on record folders that are not inside of a record series.
