Question

Granting Access Forms

asked on February 14, 2018

Is there an easier way to grant access to everyone with a license. Instead of having to click every participant license?

Are you using Repository Authentication or Active Directory Authentication?

The Authentication method would be in the Forms Configuration page and applies to all user accounts.

We use SQL Server Authentication.

Sorry, I mean under the "User Authentication" section. SQL Server Authentication applies to the database.

However, LFDS Authentication is only available with Rio, so it may or may not have been an option depending on your licensing model.

We have Rio, but I only see Laserfiche Server authentication radio button checked but they have or active directory domain controller filled in. Sorry I'm kinda out of my element and not sure what I'm looking for.

That's alright. I just wanted to check the current configuration. Because your Forms instance was configured with Server authentication, I'm not sure if there is an easy way to give every user access to a particular form.

You might be able to use groups from LDAP if you have some useful ones available in your participant list, but the easiest way I know of relies on LFDS authentication and would require significant configuration changes based on what you've described.

Thanks Jason! I figured it would be no easy way.

You're welcome. If you can, I would highly recommend having the people who manage your Forms install look into the process of switching over to LFDS Authentication.

The switch is somewhat complex, but I believe it is well worth the effort as it provides a lot of advantages that have made assigning Forms access/rights/licenses far more automated and manageable in our environment.

Just as an example, all of our Named User and Participant licenses are assigned simply by adding people to an AD group, and we also use a combination of AD and LFDS groups to grant access to specific forms without the need to add people individually or manually update the form access rights when groups change.

OH YEAH! I definitely need to do this. I have to remember to add people to non-public forms. AND I HATE IT!
