Question

Apply access rights on documents based on the different security levels

asked on December 27, 2017 Show version history

Hi all,

I have documents within a folder (for instance, RepoABC-> IT) . Based on the security levels, is it possible to assign the access rights on documents through workflow? For instance, Level 1 represents users with read access, Level 2 represents users with read/write access, Level 3 represents users with read/write/delete access and Level 4 represents users with read/write/print.

Workflow does have the ability to assign rights directly to the document. Are these groups that you have setup? If so, you can use the workflow activity Assign Rights and have it assign that group.

The only portion I am having trouble breaking down from your question is the Security Level. Not entirely sure what you mean by this, so forgive me if you already knew the above answer.

By security level, i mean the entry access rights. I am currently using LF Rio which means that LFDS group should be defined beforehand and then a workflow will assign rights based on LFDS group. Please confirm.

Correct, you are just telling Workflow which group to assign to the entry. The group itself would already be configured outside of this. I would say you should be good to go. Test it out and let us know if it works for you.
