Workflow and syncing meta data from a document to it's folder.

Here is what i'm trying to do. The process starts when a contract is created in MS Word and I select Save to Laserfiche. That document is sent to Laserfiche only before it's meta data is entered into the specified template. The Workflow kicks in when the document hits my Incoming Contracts folder using the Move Entry Activity. The Move Entry Activity names the document based on the Client Name, Contract Type, and Begin Date. It looks like this: Doe, John, Construction, 12/1/2017 Once in the Incoming Contracts folder it creates a folder with the same name as the document and the gets routed to a reviewer based on what Contract Type it is. What I have done is created a Packet. The problem is the folder is not picking up the meta data from the document. What I want to do is when the reviewer approves the contract I would like the user to go into the meta data of the folder with the meta data from the document and under Contract Status and mark it as Active which then goes to an Active Contracts Folder. I have the process working but I have to enter the meta data manually for that folder and then mark is as Active. And then it goes to the Active Folder. Any ideas?

Hi Thomas,

You will need to apply your metadata fields (or template) to the folder you create.   Once you have created your folder, read the metadata from your document and then assign the metadata to the folder via the 'Assign Field Values' activity.   Individual fields or via a template if you are using one.

I'm having the Move Entry create the Folder if it dose not exists. So what you are saying I need to apply the template to the folder which the data will be blank and then the Assign Field Values activity will populate the meta data for the folder.

How can I assign the template field automatically?

You can assign the template right after you create the folder using the 'Copy Metadata' activity from the metadata on your document.   Or you can 'Retrieve Field Values' from your document and then use the 'Assign Field Values' activity to apply the template and metadata from your original document.   The later option would let you add additional fields not contained in your template or change the metadata.
