Show the default value of Date and User Name to blank

Hello all,

I want to know if the default value of Date and User Name can be left blank till the user save the metadata template or populate the Date and User Name values at the time of filling the metadata template. From the customer perspective, it does not appear to be user-friendly. Same should be done on Web Access, Client as well. Thanks to advise.

Hi Sheila,

 

Another idea would be to use Workflow to monitor the creation of new entries with this template and within the workflow, simply complete the required field data using the "Assign Field Values" activity. You can use the Global Date Token in Workflow and you can use the Initiator Token as well for the username. This way, you can remove the default values from within the Template itself and the fields will be blank. You might even want to remove editing rights from the users on these two fields, so that they cannot make changes on creation or in future on those fields.

If you click on the tokens button and click "Display parsed token" in the menu, you'll see the actual values instead (after closing and reopening that dialog).

From the looks of it that is an option that each user would need to select. Is it possible to enable that from an administrative standpoint so that it could be applied to all users by default?

Also, this does not appear to be working when using the %(Parent) token.

This feature "Display parsed token" is neither present on LF WebAccess nor Office plugin . Thanks to advise how to do this?

Hi Sheila,

 

Your original post asked to make the values blank. I think your best user-friendly option would be to skip these two fields so that the user does not have to either see or edit them. Workflow can apply the field values as described in my previous post once the document's metadata is saved.
