Question

Weekly date token search

asked on November 22, 2017

Hi all.

I have a leave request form that is currently saved in the repository. When saving after being approved, it also adds metadata, which includes the submitters name, first day off and first day back. A reminder email is sent to the necessary people 7 days before the submitter goes on leave.

My client would like to take this a step further, by having the approved folder searched at the start of the week, and have an email sent out with a list of all employees who will be going on leave that week. Although I can do a general search of the repository, I'm unable to pull the precise time frame.

I have been using a combination of the date token calculator and search repository activities to pull this information. Could someone please provide some suggestions on how I can achieve this? Generating the email isn't an issue, simply searching on a week-by-week basis is.

Hi Ramon

You workflow should be set as a scheduled task to run week

In the workflow itself I find that you need to use Date Time format to search between Date Ranges in the search syntax. I use the workflow Global date as the starting date time as the schedule is set to run Monday at 12:00:00AM, and then I calculate the End of Week (EOW) date time as plus 6 days + 23 hours+59 mins+59 secs. You can then use these two dates in your search syntax as I've shown below. You'll have to add the additional qualifiers in your search such as location, etc as normal.

Hope this helps
