Question

Question

Workflow to move existing folders.

asked on November 7, 2017

We are fairly new to laserfiche we have some files that we decided to change where they are stored.  Is there a way in workflow to move these files so I don't have to move them manually?

Yes, it is possible but more information would be helpful in getting you a starting point.  Are you looking to do something that says all files in folder A get moved to folder B?  Or are you looking to do something that says all files in Folder A get moved to various folders depending on the metadata?

We were storing our PreEmployment Drug Screening and Physical files in our Employee Relations folder under their name.  IE Employee Relation\Darin Helton (Which has limited user who can view it.   We want to move those to the Employee Records Folder under the employee name ID Employee Records\Active\Employee Name.

We also might use a similar method for Rehire's moving them from inactive to Active.

This is a very basic example but should point you in the right direction.  There are a number of variables to know before being able to make an accurate workflow.

Are there other files in the Employee Relation\Employee Name folder that won't be moved?  If so, is there something that makes the Drug Screenings unique?  Metadata field or different template?

Are all the files being moved "Active" files?  If not, is there a metadata field or something that has this status?  If some are inactive, a token would be used in building the folder path.

This also makes the assumption that the employee name is in the metadata so it can be used as a token in building the folder path.

As far as the Metadata tags we have a document type field for the type of document. And at this point we having only started with Active Employees so they will only be going to active.
