Forms Field Data Security

Hello,

If a Laserfiche form contains a field with sensitive information such as SSN, is there a way to hide or restrict viewing of that field and data in the forms reporting section?

I suggest a solution that can have a wider impact. Fields can be hidden based on the value of another field which is visible or hidden.  You can link that hidden field to a user or role, you can hide any combinations of fields for any purpose.

Create a Text Input field "RoleId" on the form to be populated with Name, Team name or Default Token eg Form \initiator returns Bill Smith   

Create an External Database Table - Two Text Fields - RoleId , Value     eg Bill Smith, Level 2 or John Wood, Level 3 

Create another Text Input field "Security" to be populated by Table Lookup - When "Roleid" Text Field = Roleid database field Then "Security" text = "Value" eg Value for Bill Smith is Level 2

Create Field Rules

Rule 1 Show    SSN   "Save Data when hidden"

     If when any is True

      Security is Level 2

 

So SSN will be hidden to Everyone except when Security Field is Level 2.

Hide RoleId and Security Fields - Always

 

Focus on

  • Innovated ways of populating "RoleId" based the company Privacy policy and Risk policy. Needs to Know principle.
  • Maintain the External Database to assign security levels linked to possible values of "RoleId"
  • Develop Forms under a Privacy Policy that is approved by the Board

The only option currently is to restrict who has access to that area within Forms. There is nothing currently in Forms that allows you to hide a variable from specific users or groups.
