why the system is not creating shortcuts

Hi All im having some issues with my folders

it keeps on deleting shortcuts in the published folder for entries with metadata set to published in the template folder OR

 

Would anyone know what to do and how to resolve this issue?

Hi Brendan, 

 

If i am understanding your question correctly, are there any workflows being run on those folders? and if so, have you set rules for them to be ignored?

Yes, there are workflows being run.

Hi Brendan, 

 

That is fine, basically, just check the way you are searching within the Workflow and exclude the shortcuts from being targeted which will then not delete them. 

 

The other option is to if possible, display what you are trying to do, maybe we can assist further?

Im not sure on how to do this solution any help would be apricated.

Here is what I want to create.

Where users can “publish” a template file to a folder for public access and “retract” it at any time via a metadata setting.

Can you take a screenshot of the workflow? to show what you are trying to do? 

So basically, you want a file to be moved out of a folder based on a condition metadata change?

Hi Brendan, 

 

Those documents you have already in the folders you are specifying to kick start the rule, do they have the template / field assigned to them already? 

 

Personally, I am yet to test this, but I would remove the following from the condition to test:

1. Entry Changes include Template Field Set

 

And, within your Workflow, if you have the template assigned to the document, try retrieve the whole Template first instead of just a field to see if you can capture any data. Add a Track Tokens just under the Retrieve Field Values and see if it brings anything back. 

 

Also, where it shows you the error. You are trying to run the Workflow manually I believe, have you specified a file you would like to run the workflow on? Try on 1 file first before trying on all the files. When you hit the Play option, specify a document to test the workflow on and see how you go?

Hi 

I have been playing around with the settings and I have run the workflow and it came back with no errors is it fixed or do I need to dig deeper

Hi Brendan, 

 

That color indicates it is running, so now if you are to make a change in the field metadata, refresh that screen and see if it changes
