Is it possible to assign a task to multiple people at once?

Hello,

I am looking to assign a task to everyone in our company at once. We have annual forms we have to complete and it would be easier to send it to everyone at once if possible. I know using groups only 1 individual is allowed to take the task at a time. I am currently listing everyone in the users space, but I can only imagine there is a more effective way to accomplish this than that.

 

I saw we can make a workflow within forms that checks hidden fields, but I want our CCO to be able to check off each individuals task/form as it comes in, rather than wait for everyone to finish the task for it to be sent to them.

This won't work the way you're expecting if you need each person to submit his/her own form. Assigning to multiple people is an option, but that would assign the same task to everyone meaning once one person completes the form the task is completed for the entire group.

If you need every single user to submit his/her own form, than you need a separate user task for each individual user. The better option might be to use separate forms instances for each individual user, then use workflow, an external database, or something along those lines to consolidate the data.

Would what you're suggesting be similar to what you suggested to a different user about a month ago? I saw you suggested having hidden fields and a work flow loop to ensure all users get to fill it out.

You could go that route, but I think in your case it would make more sense to have an entirely separate form instance for each user.

The loop idea is a workaround so it can be a bit tricky. Doing a separate submission for each user would make more sense in my opinion.

If you wanted, you could use Workflow to create each an instance for each user, and depending on what version of Forms you have, you could set up a report where the CCO could easily see who has, or has not, completed his/her form.
