Question

Default Field Security

asked on August 14, 2017 Show version history

Hello All,

I have a question relating to the default field settings.  We are doing some cleanup of our field security and I was wondering if there are any reasons I shouldn't remove the everyone group from the default settings. Currently, we have the LF admin and Everyone group assigned but I'm wanting to limit it to just the admin group.  Then, If need be, add any additional groups that may need access to the field afterward.

Are there any potential problems that surface because of this?

One thing that comes to mind for me is - would there ever be a reason a user would need to add a field manually that is not part of the template?  An example from personal experience is where when the original template was built, the customer did not want a generic "comments" field added to the template.  However one of the staff who has worked with other templates in Laserfiche ran across a time when they really needed to add a "reference" comment about the document.  So they clicked the Add/Remove fields button and added the comment field to that document's metadata.

Thanks, Jennifer.

I could see the use case you mentioned as a reason. I think our department just wants to limit the fields users can see since we create a lot of field values for forms and such, which a lot of departments want metrics on.  So, in many instances, there are a lot of fields where the general user doesn't need to see the field. Also, it creates some confusion when users see fields in the advanced search that they will never use.

Thanks again for the advice!
