Question

asked on August 7, 2017

Hi all,

Does anybody have any experience implementing Laserfiche for the Prisons department?

Any suggestions on structure, what to look out for would be extremely helpful.

Thanks

Hi Joseph,

We've had a few Run Smarter Award entries that might pertain. One had to do with a city that used Laserfiche for inmate records management, retention, storage and destruction. Laserfiche Quick Fields is used to send scanned documents into the appropriate folders within the repository. Laserfiche WebLink is accessed by users to search for scanned records, perform internal quality control audits and print and/or transmit documents as required. The city also uses WebLink to identify, create and process the purging of records that have exceeded their retention schedule. Laserfiche has been integrated with the municipality's Jail Management System and Local Inmate Data System (CORIS). The city saved approximately 450 cubic feet of inmate records and $1,500 annually on the new inmate folders that are no longer needed. It estimates the financial ROI of $180,000 in increased production.

In addition, we have a number of government agencies that use Laserfiche to automate the warrant request process - if that's relevant, you can view those articles here:

I hope this is useful. If you'd like me to put you in touch with the resellers who work with these customers, please feel free to get in touch with me at Laserfiche HQ or by email (melissa.henley@laserfiche.com).

Do you have ideas of how extensive you are looking to set it up?  I mean will this just be storing documents?  Or are you trying to automate processes they use?

We store a couple different types of documents for our jail but it is not very extensive.  And we don't do anything but store documents.

Quite extensive i might say. We will store current files of inmates as well as automate onboarding processes. We would also like to pull inmate info based on thumbprint metrics.

If i may ask Jennifer, what is handling your inmate onboarding?

A lot of physical paper and the software program called New World.  Since Laserfiche doesn't touch the inmate onboarding, I really can't completely answer that.  What I know is that the inmates sign various papers such as the Tenneessen Warning.  And any inmate information I pull back into Laserfiche to populate metadata on the inmate files is pulled from the New World software.

Oh great! Very useful Jennifer.

Thanks a lot for the guidance.

Further suggestions or advice is welcomed.
