Weblink login page to view client files upon sign in

Hi Team, 

 

I have set Weblink for user access to view files. The only way they are able to at the moment is by the Weblink URL being generated within the Workflow and being emailed.

 

As the folders are nested within subfolders and there are security access / permissions set. I would like to know if there is a way that when the users login to WebLink they view their files directly within the main page? Is this possible? or is there any way this can be achieved? It would be an ideal solution to have the users login to the main screen than having a link being sent to them everytime?

This can be done through the use of shortcuts.  You create a work folder on the repository root that the user has permissions to and then you create a workflow that puts shortcuts into the work folder to the documents and/or folders that they should be working on.  After their work on the document and/or folder is done, have workflow clean up the shortcut.

I have it now working based on your recommendations. The initial folder that is created via the first Workflow Business Process is then going through another workflow where the user account and the WebLink URL is being created. Within that Workflow, it creates a shortcut of that Shared folder within the Repository Root and gives the user access as required.

Hi Ziad,

 

In your solution, I am curious to know whether you had to assign licenses for every user who log in through Web Link to retrieve the file. Thanks.

To log in through WebLink, a user needs an account that has permissions and needs to be marked as Read Only (either directly or through group membership).  If the user has no license assigned and are a read only account, they will use a Public Portal concurrent license.

Hi Wissam, 

 

I used Workflow to create an account to be used for Weblink then assigned it permissions as required within the Workflow.
