Import Agent Query: Any way to identify who created the file prior to it coming into Laserfiche?

Hi All,

 

I have a client who we have a setup with Import Agent Holding Folder to route all files within specific folder into the repository.

As they come into Laserfiche, they are identified as created by IA (Import Agent). Which is working perfectly as then Workflow is used to route the files to their respective folders with the Metadata all filled in. 

 

With some instances, the files (if not named correctly) will go to an else queue for a user to review. But, as the owner is IA, it is very hard to identify which user has dropped the file into the holding queue.

 

Is there a way when using Workflow "Search Repository" > Additional properties that we can pick up the Document Owner from the document attributes? 

 

Any feedback would be appreciated

Hi Ziad,

Is it an option to categorize files into subfolders by the owner locally? Import Agent can monitor the folder and create the subfolders in repository as well so that the workflow the routes the files. 

 

By the way, Import Agent does support shell properties, but the owner is not in the list.

Ziad,

The electronic document in Laserfiche would not have the same Owner as the original document dropped into the Import Agent folder as it is a "new" file. Additionally, there is no guarantee that the "Owner" is the person who actually deposited the file.

Based on your use case Huazhen's suggestion seems the most appropriate and the most reliable, because what you really want to know is who sent the file. I would look into creating subfolders for each user, then use Access Controls, mapped shortcuts, etc., so each user can only see/deposit files into his/her own folder.

Then, like Huazhen suggested, you could monitor the entire parent folder, with import from subfolders enabled, and include the subfolder either as a folder in LF, or in a metadata field.

Thank you for the feedback, I will discuss this with the client and look into setting it up that way to make it easier to find which user has created / dropped the file into the holding folder.
