Transparent Records Management Cutting Off Entire Folder

Sometimes cutoff is event specific (e.g., when someone leaves the organization, when a piece of land is sold, etc.) and the date isn't known. In this case, I have to manually cutoff the record. However, sometimes, a whole folder needs to be cutoff. 

Of course you can select all the records within a folder to do this, another option is to cutoff the folder. Has anyone done this?

I was thinking about using tokens: Each of the folders (e.g., personnel file) has a field in the metadata that represents that the folder is still active. The template used for importing documents has a default token of %(Parent). So by placing an entry into the folder, that value is passed into the token, keeping the record active. Then, if I switch the value of the field in the parent folder to cutoff the folder: will this apply to all the documents within it with the %(Parent) token? Thereby cutting off the whole folder?

Any thoughts or ideas are appreciated.

Hi Robyn,

If you cutoff a record folder through the RM cutoff action, it will cutoff all the records within the folder. I'm not sure why you'd need to use field tokens for it. That said, no the %(parent) token is only resolved the first time it's set (entry creation or if you manually set it to the token again on the entry).
