Question

List of All Access rights for Users and Groups at the folder and document level

asked on June 14, 2017

Hello,

I am wanting to see if there was a script or way for a user to see a list of all Access rights a user or group has to folders or documents within a repository? I know that you can just browse to a folder and check effective rights, but the user wants to have a broad scope to utilize in auditing.

Thanks!

Hi Charles,

The 10.2 web client added the ability to generate security reports directly through the client without needing an external script. From your desired starting entry, choose generate report and select the user access rights report. That will allow you to see the rights that user has.

If the user wasn't on version 10.2, is there an external script that could be run?

Can be possible to run this report for all the users? not going one by one.

What exactly are you trying to report on? You can report for all users on one or more entries, or all entries for one or more users. You don't need to go one by one.

Check out the 'entry access rights report'. You can run that on a specific entry, optionally include subfolders, and it will return all users in the system.

Hi Justin,

Just playing around with this myself, and customer has asked for what seems to be a pretty valid request.

Let say I have entry ID 1234 in the repository, they want a report/list of all the users that have read access to this document.

I can't seem an easy way to do this using the current reporting options. I could use the Entry access report but then would have to add all users in the system (also there doesn't seem to be a way to bulk add users, with a 500 user system this is painful to click each one).

Is there a smarter way to do this? And if not could I make this a feature request?

Cheers!

Hi Chris,

The default should be 'all users'... but presumably that's not working for you so something else is missing. Is the idea that these 500 users are in the directory system (like AD) but are not users that have necessarily logged into Laserfiche and therefore aren't included in the report? If so - yes, the users need to be known within the system, it's just not practical to query back into AD or other directory systems for every single possible user in the directory.

Hi Justin,

Hmmmmm, guess I'm missing something. Let me paint a picture, let's say I have 100 users setup as windows accounts in the repository, and I have a document in the repository, I want to run a report to see what rights those 100 users have on a particular document. How would I do this, as currently the only was I can see to achieve this is to manually add the 100 users at this point:-

Which obviously isn't ideal, and also you can only add them one by one (shift selection doesn't work).

You want the Entry Effective Access Rights Report, not the User one. The User one is to give you 1 user and show all the entries, the Entry is to give you 1 entry and show all the users.

Hi Justin,

Ok tried the entry effective access rights report, but this still only displays the users I select in the report, so back in the same boat.

Is there an easy way to add all the registered system users to this dialog, so I can see a report of all the users in the system that can interact with this entry?

Cheers!

Have you tried selecting either 'all users' or the Everyone group? You should be able to select groups:

Ahhhh you're using the web client. Yes works for me fine too there, in the thick client there is no option to select all users or the everyone group, which is where I'm seeing the issue.

Oh, interesting. I didn't realize that was a difference between the two of them, I admit I've never personally used the windows client version of this report generator. Well, there you go!

Hi Justin,

Can I request that this is added to the thick client? Some of our customers would like to use this feature in this scenario, but don't have the web client option.

Cheers!

Hi  Justin,

I try to use this utility but my output of access rights only one folder even I selected all the folder in my repository. How I can get all the user's access right to each folder only one run of the utility.

Thanks
