Question

Forms Workflow service task push over a "Starting Name" or "Instance Name" into Workflow?

asked on June 13, 2017

It seems as though I've got to be missing something.  I have a Forms process that saves a form into my repo in a non monitored folder.  Then forms uses a Workflow Service Task to kick of a workflow that handles the document from there.  Now everything works great except for when I have an issue I need to research.  Workflow searches provide no "Starting Name" or "Instance Name" whenever a Workflow is initiated by Forms.  I end up having to search via Start Times and pick and Choose which one I may need. Yes, I know that I can rework the process to have Workflow monitor and kick its self off, but it seems as though it would be a great deal easier if I could push a Starting Name over to the Workflow server from forms.  Forms technically knows what the starting entry is.  Am I in fact missing something or is using workflow side initiation the only way to get what I need?

It's not very straightforward, but it can be done.

When a workflow is started by Forms, there is a "BP instance Name" input parameter that Forms passes on.

The instance name in Workflow is used for Laserfiche busines processes, not the Forms ones. However, if you make the workflow a business process, you can then use the Update Business Process activity to set the instance name using the input parameter that Forms sent. You can remove the other business process options, like showing this workflow in the Laserfiche clients and allowing users to start it directly.
