Generate text from attachments in saved emails

Hi All, 

 

Was just wondering if this can be achieved, 

User scenario: The email contains multiple PDF files that are being saved as attachments in a folder directory and a Template assigned. 

 

We would like to know if there is a way to have the attachments that are saved be search text-able so we can then pattern match and find information within those attachments to include into the Template? 

 

Is this possible? 

I was thinking running DCC to generate text but within a workflow, how can we determine when that is complete to go to the next step of the workflow? 

 

Any other alternatives would also be appreciated,

Hi Ziad,

 

There's actually a number of ways to accomplish this. When you click on the "Save Attachments to Laserfiche" button from your Outlook, you will be prompted with the option to generate searchable text. Please refer to the attached image for guidance. You can also use Snapshot to print the attachment and save it into your repository. For more information on this approach, you can consult the following link.

Heya Ziad,

I haven't done much with Outlook to know what happens when an attachment is saved. I thought LF OCR'ed the attachments?

Anyway, you can use the DCC Scheduled OCR in the workflow like you said.  I usually add a 5 minute delay after the Schedule OCR step in the workflow. The length of the delay depends on how fast the server is and how many attachments will be being OCR'ed at one time.

I'm actually finding that these options are not generating searchable text for a pdf attachment (LF 10.3.1) from Outlook, but if I save that pdf attachment then drag it into the LF desktop app the searchable text gets generated just fine.  Not sure yet whether this is a bug if anyone else has ran into this, thanks

I got it to work by changing the “Advanced PDF Import Options” from the “Use native text extraction …” option to the “Use an alternative …” option (left the default “OCR existing pages” option alone).  Unclear as to why this was necessary though when it worked via drag-drop for same file...
