Suggestions for emailing a WebLink link from Web Access

We have a user community whose users spend their day in Web Access, and have need to send coworkers who have requested documents and email containing a link to the document (not the document itself).... but those coworkers use WebLink Public Portal, not Web Access.   So the requirements are, from Web Access, generate an email to a recipient which contains a WebLink link to the document. 

The most eloquent way we can determine to do this:

  • add a field "recipient email address" to appropriate template(s)
  • the "sender" populates the recipient's email address in that field, and then starts a Workflow Business Process
  • The WF Business Process generates an email to the recipient containing the WebLink link to the document, and clears the value stored in the recipient email address field (for next usage). 

 

We're looking for any other suggestions that someone may have come up with.

Suggest using the weblink to send the mails, the weblink sends links building a string that points itself.

Thanks Manuel.  And that's the logical suggestion, but the end users that send the links are actively adding and editing documents all day.  So they spend the whole day in WebAccess.. for them switching to WebLink just to send that communication isn't an acceptable solution.  Hence, our attempt to find as seamless a method as possible to do it from within WebAccess.

If the user has Workflow, this seems like a perfect case for a Business Process that you could invoke from Web Access.
