Quickfields - filter just by file name?

Hello,

I am looking to have Quick Fields go through files in a folder and import a file only if the file name starts with a specific set of letters (e.g. starts with Test). So a file named Test123.pdf would be picked up in the document class and no other.

 

I do not need a Zone OCR for this... just filtering by file name and only storing those docs that passed the test into Laserfiche. Is this possible?

The token %(Name) will give you the name of the scanned document. You could use that in a Token Identification process in First Page ID. You may also have to go to Scan Settings > Document Content and check "Keep each file as a separate document" so that documents that don't pass your rule won't get added on to an identified document.

As Brandon mentioned, you'll still scan every document in the folder, but this way you can store only those that were identified as passing your rule

Hey Pieter,

I suspect this may be a basic follow-up question; but how do I get Quick Fields to look at a multipage doc (with that Token Identification process) and not split out each page as a different doc?

 

I have "Keep each file as a separate document" checked. But there must be another setting somewhere?

Hi Julie,

That's no basic question!  You can go to Last Page ID and check "When the Last Page Identification conditions are satisfied". However, you will need to throw in a trivial identification process into Last Page ID (this is a workaround for a current bug).

For example, I used a Token Identification process that checked if %(Name) was equal to "fdsfklsd". This will (probably) never be true, but now Quick Fields will ignore the First Page Id until the document is completed, which will happen once all the images in the scanned file have been processed.

However, I should mention that there are some limitations to this approach and it might be better if you could find a way to filter these documents before you capture them. 

For example, you have the following two configurations for dealing with the unidentified document and with the original files. In Quick Fields, you can go to Session Settings > Current Session > Unidentified Documents to decide how to store the unidentified documents (if you want to store them). In Scan Settings > Post-Processing you can decide to delete the original files after scanning, but this will include the unidentified documents.

So although you can filter the documents to put into Laserfiche (and this again goes back to Brandon's response), you cannot filter the documents you retrieve from the folder. If you're ok with leaving all the documents in the folder after scanning, then you're good. If you're not ok with that but you are ok with deleting the unidentified documents (and perhaps storing them on Laserfiche), then you're good. But otherwise you're better off finding a way to filter these documents into different folders before capture

Hey Julie,

It looks like the QuickFields Universal Capture scan source can only filter by file extensions in the drop-down shown below.

Thanks Pieter! That's actually the path I was trying to go down; but I just wasn't using the Token Identification Process. Worked like a charm.

Are you wanting to leave the non-matching files on the file system?

Probably so; although things have changed over the last day to where it looks like I will be only getting the files I need so I don't have to worry about filtering them. Although, I guess I should always plan for the unexpected with errant files. So I will just setup an Unidentified folder in LF to dump rejects :-).
