Question

Workflow for 3 person approvals.

asked on May 8, 2017 Show version history

Alright, I am super new to Laserfiche and Workflow, as in I started last friday, and I was tasked with making my first workflow.

It is for document approvals by 3 people. I'll attach what I have.

So the theory in this;

1) Start with the document

2) "Route Entry to Folder 1" will take it to the folder belong to approval person 1, send them an email letting them know there is something waiting for their approval and then it waits for the approval field to be set to yes.

3)"Assign Field Values" will set the approval field to "Pending" again

4) Repeat step 2 for approval person 2.

5) Repeat step 3.

6) Repeat step 2 for approval person 3.

7) "Route Entry to Folder 4" moves the approved document to a completed folder.

Here is my issue. I publish it and start the workflow but it never gets through the second step. It will copy the entry to Folder 1 and then stalls at the email portion without generating an error. If I skip the email entirely it stalls at the "Wait for entry change" portion even after setting the "Approve" field to "yes".

Is there a wait timer or something I am missing?

I have tired spreading the "Route Entry to Folder" into "Move Entry", "Create Email", and "Wait for Entry Change" but I run into the same issue, entry is copied to Folder 1 but an email is never generated, I approve the document anyways and it never moves on.

Edit: updated the workflow picture to show descriptions of each item.

Look at the instance details to see how far your workflow got.

Hey Miruna,

I have tried doing that, it doesn't give me much more info as I don't see any errors being thrown as I close them after about 10 mins of them running while stalled. It simply shows me marking it as complete. I'll let it run for about an hour and see if anything pops up. Thanks for the tip.

What do you mean by "stalled"? Which activities complete? Based on your description, assuming you set wait conditions in the first Route to Folder, you should only see one activity outlined in blue, the first one. If all of them are marked in green, then your wait conditions are not set properly.

By "stalled" I mean it continues running while going no where yet giving no errors.

Here is an image of what the workflow looks like after about 10 mins of being in test. Entry was copied to Folder 1 but an email is never generated.

Can you show the settings for your email in the activity?

I doesn't look like it gets to the email for some reason. It copies the entry to folder 1 but then just keeps running that activity even once it is done. I also posted what my "Route Entry to Folder 1" looks like.

Hi Timothy,

Stupid question here, but just to make sure. Have you ensured that you're performing the action on the entry itself and not on the parent folder as shown below?

Thanks,

Michael
