Audit trail on Laserfiche forms

Hello,

 

I am kind of new to LF forms. I wanted to know the different audit capabilities of Laserfiche Forms. For instance, how can I have a report of the number of applications/forms that have been submitted  or rejected? Or, how can I have a report to track down the different activities on a particular form?/

I would also like the ability to see who accesses instance details from monitoring or from reports. As forms admin's it would be nice to have some accountability/audit of what we have looked at. Currently, we are testing employee evaluations and as admin's we can access the instance details. If we look at the completed form in the repository it is monitored by the repository audit trail but nothing covers Forms instances.

During an ISMS (ISO 27001) audit this was recently raised as something that needs to be reviewed.

 

So, it would certainly be appreciated if Laserfiche could provide at the Forms level:

1) Who has access to edit (included already)

2) Who has access to view (included already)

3) Who has accessed AND when

4) Who has edited AND when

 

In addition, from a user management perspective it has been requested to see at a "user" level, a history of their actions and a trail of their activity. Also a quick view of everything they have access to and what level of permissions.

I also am interested in this, as data is now missing on one form.  All data older than one month is missing, that is all record of previous forms submitted.  How did that get deleted?  There are no purging settings telling it to do so.

There is currently no such audit capability in forms, we will consider support it.

I would also like to see an auditing feature, as we had a form where instances were deleted, and we have no record of who carried this out (for an example).

Forms 11 Update 3 has added the Starter Audit Trail to audit the events for business process/instance/report/session. Thank you for your comment.  Are there any plan in the upcoming releases?

Also, if it is not available out of the box, is there any possibility to built custom SQL queries should the data be in DB?

It should be doable to generate report of the number of applications/forms that have been submitted  or rejected with custom SQL as the data are already there, you can get the data from [cf_submissions] and [cf_form_submissions] to know how many Approve/Reject action for particular step of a process.  What are the other "different activities" you refer to?

By other activities, I meant tracking changes done on the fields..for.instance modifying the data already present in the fields or modifying the fields itself e.g. from single text to drop-down etc...

This kind of activities do not support audit right now.  We will consider it for future version.

Are there any updates on this?  I am looking for the same functionality.  Perhaps custom javascript?

@ Alon - no update for now but it seems that Laserfiche is working on this feature as they have been getting several requests forms. But nothing disclose officially for this long awaited feature!

For now, it would be mostly through js or database reporting capabilities - at least you might get some basic audit trail.

Also looking for an update on this, it would be nice to see who changes a variable within a forms process.

I am curious to know if it's possible for audit trail to capture events generated by user's with a participant license, submitting forms.
