Wrong Data in template in repository

Hello,

 

Our HR had a folder redesign done recently and our HR user is doing some cleaning up of documents, and she found one employee that the documents are hers, but in the metadata in the template has the incorrect name attached to it.  Background is that this employee and another employees documents were in the same folder, so when the WF  for the folder redesign went to parse them out to their correct folders, it pulled all of the correct data for the first employee, but for the second one it attached Employee #1 name to all of its HR documents. That redesign WF is currently not published since the project has been completed.  As an admin, I went into the particular folder opened the document and the Template has a Name field at the bottom with the wrong name.   I tried to deleted the incorrect name, but it would not let me.  I also checked some of this employees other document in other HR folders and the name attached is incorrect.  Is there a way for me to correct this data?  I hope I did not confuse you, but it was confusing to me as well.  Thanks!

Hi Jaquisha,

Can you clarify what you mean when you say you 'can't delete' the incorrect name? Does the UI not let you modify the value? Can you clear it out but then not save it empty? Do you change it but when you re-open the dialog it's gone back to the original value? Something else? I ask because all of these could have different causes.

Sure, I am unable to clear the value at all.  I can highlight the name, but unable to delete or modify it at all.  I hope that helps

Ok, it sounds like the fields have been made read-only. Probably it's set up that only Workflow can modify the values. You can update this by changing the field security in the administration console. If you go to the fields node in the administration console there will be a button to access security. https://www.laserfiche.com/support/webhelp/Laserfiche/10/en-US/administration/#../Subsystems/LFAdmin/Content/Assigning_Field_and_Template_Access_Rights.htm has more information. Once you make the fields editable to you, you'll be able to change out the values.

I have followed the steps and for  read, edit, create, modify are all checked as allowed.  Hmmm

Ok, the other possibility is that the document itself has been made read-only. In that case, check if you have the 'Write Metadata' entry access right on the document itself. https://www.laserfiche.com/support/webhelp/Laserfiche/10/en-US/administration/#../Subsystems/LFAdmin/Content/Assigning_Entry_Access_Rights_to_an_Item.htm and check the effective rights tab.

I have checked my Access Rights to the document and "Write Metadata" is checked as allow.   I'm stumped..lol but not giving up
