Reporting Instances Setting Columns for Multiple Users

asked on April 25, 2017

We're working the Reports for one of our Forms and I added some variables to the column display to help find the various instances. When other users log in and check the instances under Reports they do not see the custom column layout.

Is there a way to set the default columns available within Reports --> Instances for all users of a Forms process? Or, does each user have to configure their own view?

The custom columns settings for instances page is remembered per user. There is no way to customize the default columns for all users. If you want all users to view the instances list with certain columns, you can create a report and customize the selected columns and let all users view that report instead of the Instances page.

Thank you for the info. It would be helpful to be able to set the columns for multiple users/defaults when you have a team of multiple people who will be using the Instances to work items in the overall queue. If this could be added as a request it would be helpful.

As individual report has provide the ability to customize the columns that will be displayed, so this may not be added as a new feature for instances table.

Allowing the process admin to set the default columns seems like it is an option that would be beneficial regardless of the report configuration(s). Many process admins need to have access to the same information consistently to be able to support a process. Having to tell them how to configure their own columns or which report to run to do something, especially if there end up being multiple reports to choose from, seems like it is counter-productive. If they could simply be configured then it would ensure the process admins have access to the same views no matter who is viewing the instances.

I brought this feature request back to the team and we will discuss it and consider adding this feature.
