Provide approve and reject options on emails

Hi Everyone,

We are currently designing a process in LF forms and would like to know how  to enable approve and reject actions on emails?

This is required to allow approval from smart phones.

The first line of the replied email must only contain the action label. You can add comment in the second line as task comment.

I am using the above for mail alerts. But wanted to know if they can approve from the mail.

 

During webinar with laserfiche they mentioned to consider using imap server for email approval

It sounds like it's working. The link is supposed to open the form if the user prefers to approve like that. Otherwise, they can reply to the email with "approve" or "reject".

Yes, I am in process of setting it up in my environment. But what happens if the reply message is has an Approval or rejection + some more text.

Will it be considered as an action by LF Forms?

Is a Forms Authenticated Participant License required to perform an Email Reply of Approval or Reject?

Hi, I have a similar problem, I have created a process that send a user task for Approval/Rejection of a form. If the form is rejected I need it to route back to the original submitter, I added a email service task, but the initiator is not getting the email. I also need to have the initiator to be able to resubmit the form once they have made corrections, how do I make this work? I found this in a different question but I'm not sure how to set it up to route back to the approval process?

Hi Miruna,

I have already done these steps and i am able to send them a mail. but the link sent to approvers opens laserfiche forms for them to be able to approve their task. 

 

I was investigating on a possibility to approve directly from the mail without opening the task in laserfiche forms and provide necessary information on the mail so that the the mamber can approve the task.

You can email the user with the attached form for the current user task(feature in 10.2) so that they can check the form directly from the email and reply "Approve" or "Reject" to perform the task directly.

Can the form be attached in a fillable format, or does it send only in a standard pdf?  I have a form that needs a field filled out before approval.  It would be handy if they could do this directly in the email.

USE CASE

External business partner is part of a review / authorize process.

  1. NEED to send a form to external party for review and approval.
  2. NEED to minimize the process FTE cost.
  3. NEED to track the status of the task.
  4. NEED to automatically process the return input / documents.

 

PROBLEM

I was looking at using this 10.2 feature, but we currently do not allow our Laserfiche server to process external emails -- outbound or inbound. 

 

POSSIBLE SOLUTION FOR -- NO INBOUND EMAIL

If we can send the email from Laserfiche, then we can craft the email so that it is in effect a process-related web form that we can process the returning POST.

I am looking for anyone who has done a similar process design.  Post responses to this thread.

 

We are running Laserfiche Forms Professional Version 10.2.1.246
