Workflow to populate a table in Forms with names of documents it found?

I have a WF that searches for documents eligible for destruction.  It creates shortcuts for those it finds and puts those shortcuts in a folder in our repository.  Then it emails me to let me know.

Can this WF also start a new Form with a table and populate that table with the names of those documents?

(The idea is:  Users would then be assigned Forms Tasks to review and approve destruction, after which the Form would go to our CAO for her final approval before destruction.)

Hi Connie,

As an example, you may be interested in checking out the Records Disposition Request that's been built out for the Business Process Library. It might be similar to what you are looking for. We have a WF there that populates a Form with names of records up for disposition. This will then go through a series of approvals. Feel free to configure this process to your organization's practices.

Thanks for the tip, Brandon!  I have downloaded it and checked it out.  Anything I should make sure I change before running a test?

Yes, there are just a few things to configure to have the process run in your environment. 

  • For LF Client, import the repository briefcase that's part of the process files into LF Client
  • For Forms, update the repository profile in the Save to Repository tasks to recognize your server
  • For Workflow, make sure the Connection profile, Retrieve Business Process Variables, Generate URLs, and Set Business Process Variables activities are updated appropriately to recognize your server
