Forms 10 Teams - Task Visibility

asked on March 31, 2017 Show version history

So, I have a Team where one person is ultimately Approving, but might occasionally reassign to another team member.  Today, he reassigned and then found out that team member was away sick.  How can he get that back to assign it back to himself?  I know I can do it as the Forms Administrator, but I might not always be here myself.

I do have this checked off ("Show Team Tasks to all team members") however he cannot see anything that is not assigned to himself.  I have noticed this during all our testing, as well, but now I really need to find out if this option is not working properly for us or what.

Are we looking in the wrong place?  We are currently looking under these tabs and the item assigned to the other team member is not under any of the tabs:

Assign to the team will send email notification for all the team members. You can assign to the whole team and use team filter to only assign the task to a single user in the team so only that user will receive the email but the task is still belong to the team so all the team member can see the task.

When "Show team tasks to all team members" is selected for the team, all the team members can view the task for the team from the team tasks tab. For My tasks->Assigned tab, it will only show the tasks that are assigned to the current user. So to check other team tasks, you should select the team from the left navigation and check the assigned tab. Only team manager and team administrator can reassign tasks to other team members, so you need to make that user have team manager security role.

Thanks, Xiuhong.  I have checked everything you have talked about and still cannot get to view the currently running instances, so I have contacted my VAR to check and make sure our setup is correct.

I notice that your view shows how many running instances your Team1 has going on.  My Teams are not reflecting any numbers there.  This might be a clue as to what is wrong here.  I have confirmed that I have one uncompleted instance in two of my teams, yet nothing is showing on the pages you're showing above.

You will see the real-time number of tasks if you have configured the notification service correctly.

From your screenshot for the tasks, I can't tell the tasks were assigned to the team "Public Report/Request Forms", they were first assigned to a specific person not the team, so the tasks are not a team task actually.

You can try reassign those task to the team by click the reassign button->select the team and reassign and then check whether the task will appear in the tasks list for the team.

Okay, Xiuhong, thanks.  Does assigning directly to the whole team send an email out to each of them?  I was thinking it would and so did not choose that option.  If not, then maybe that's what I can do.  Assign it to the whole team first, then have the next activity email the person I need to act upon the form submission.  I only want one email going out with a link to the submission.

Here is what I am seeing.  The screenshots show two active forms processes that I am monitoring in Chrome as the Administrator; plus two showing what one of the members sees:

And I have double/triple checked that this is checked off for both forms:
