Question

limiting a users access to a single folder

asked on March 22, 2017

I would like to learn how to limit a users access to a single folder within the Repository. Is there a guide on how this is done?

Look at the access rights on the root folder and see if the Everyone group is assigned there.  If so, what is the scope applied to the everyone group?  Usually, I assign the Everyone group to the root folder with a scope of "This entry only" and give it read and browse rights.  This gives all users a portal into the repository without propagating to anything inside the repository.  Then on each folder in the root, assign access to the group(s) that should have access.  If someone is not a part of the group(s) with access, they will not have access.

If you are having users see folders, but they cannot open them (do not have access permissions) and you do not want to see the folders at all, go to the properties of the everyone group in the LF Admin Console and remove the Bypass Browse Privilege.

Log into the Laserfiche Repository through the LF Client with an administrative user (must have "Manage Entry Access" privilege).  Right click on an entry and select "Access Rights..." (near the bottom of the list of actions) to open the Access Rights dialog window.  There you will see a list of users and/or groups with access to the entry and by selecting a user or group in the top, you will see the assigned access rights in the bottom.  To add a user or group, click the "Add..." button and in the left pane, add the user or group and in the right pane, set the scope.  After the user or group is added, select it and then set the correct access rights in the bottom.

Usually, you want to use groups to control access so that you can easily add or remove a user to or from a group and the security is inherited and you do not have to go through the client access again.

Hello Bert,

Thank you for the quick response. I know how to set up and give access to a user. I need a more in depth knowledge of how to limit a user to a single folder. I have 1100 folders in my repository but I only want them to be able to see just one of them. Everything I have tried still allows them to see all of the folders in the repository.
