Expense Reimbursement - send back for revision stage is stalled

asked on February 24, 2017 Show version history

I am using the Expense Reimbursement form found in the new Business Process Library and the stage of returning the form to the initiator for revision is stalling.

  • When the approver sends it back for revision, the initiatior isn't notified (even after I configured the revision task activity to email the initiator);
  • And the initiator has no way to access the form to make changes and resubmit (at least, we can't find where to go to do this).

This screenshot shows that we can see what the approver typed as a comment on what needs revision, but we can't get access to the form to make the revision and resubmit:

Hello Connie,

I loaded up this process from the BPL and ran through it a few times. I didn't encounter the same issues you had, regardless of whether I had the default "Initiator" user or hard-coded the "Forms" user for all the user actions and notifications. I've included a few screenshots below that show how the outflows from each of the Exclusive Gateways were configured just in case there might have been something off there.

Have you confirmed that the user you are logged in as has an email associated with their account? There are two ways to do this:

  1. In Forms, click on their user name drop-down in the top right-hand corner and click on Account. Once on the account page, make sure the appropriate email is listed in the "Email" field and click the Save button.
  2. In the Laserfiche Administration Console, find the user in question in the "Users and Groups" node for the repository and open up their properties. Navigate to the "Attributes" tab and see if they have a "[FORMS]Email" attribute. If they do not, add one with the appropriate email for that user.

However, regardless of the email being properly configured, if the initiator is listed as the user to receive the next task, navigating to their Tasks page within Forms should show any tasks they have assigned to them (in this case, the form re-submission).

If nothing here seems to be working, I would suggest taking a look at the metrics for the process and seeing the path that this process took after the Manager selected "Revision needed".

Best regards,

Adam

Thanks, Adam.  Some of these things I would never have thought to check!  Unfortunately, they haven't led to a fix yet.

  • User Name drop-down -- her email address was there;
  • The user's attributes in Admin Console -- I couldn't see it there, but her email address is there in Forms so...? (I will look more into this one as to why it's not there);
  • I compared your screen shots to my gateways and they were all the same.

I may have to get my VAR involved, come in onto my computer and see what he can see.

Thanks for your help!

From your screenshot it shows the process has been completed, so please check the instances list of the process to see what the steps were processed after the "Approval by Supervisor" for this specific instance to see whether the conditionals are correctly set.

For the issue of no email was sent, you can check from the instances list by selecting that instance and click "View error log" to see whether there is any error.
