Question

saving multiple files at once into Laserfiche

asked on February 12, 2017

Hi Team,

Client would like to know if it possible when saving multiple files at once, it can retain settings from previous submission, but allow you to change some fields if required as opposed to either having to have all documents saved identically, or having to start from scratch for each document?

Thank you

Hi, Ziad,

There is currently no way to retain only certain values of certain documents in your batch import. It's either all or nothing.

A simple workaround is to batch import only the documents that you know should be identical.

You can also use Import Profiles so you don't have to start completely from scratch for each document. You can set a template on your default import profile. Here is the web client's Options page:

This will automatically assign the template in the Import Dialog:

You will still have to fill out the values for each document if you don't want each one to be exactly the same, but you can at least have the template already set for you. You could also add default values or tokens to fields within your template. That way, you can have some of your basic information pre-populated for you, and all you would have to do is update the metadata that's unique for only some of your documents.

Let us know if either of these solutions works out for you. If not, we'd love to hear what your client's specific use case is and we can look into adding some more flexibility to our batch import for a future release. Thanks!

Hi Alex,

This must have slipped into my other work, just saw this, and here is the update from the client.

They use the LF Client.exe and not Web Access as they are opening files directly and not having to check-in or check-out documents.

The client requirements are, so they do not have to type in the client code and the type of document you are trying to save when there are 40 documents for the same client.

Basically, there are some fields within the template that are required to stay as default and some only to be changed when needed, when doing a batch import into LF.

The client has a Solution we have put in place where based on the naming convention it saves it directly into the folder required using Import Agent and Workflow. But, if the client does not need to use the naming convention set for the Workflow, how would they be able to save a full batch but be able to change some fields when needed.

Hope this helps,

Ziad

We can look into some kind of "apply to all" for individual fields, or to do an "apply import profile to all" in a future release.

As a workaround, you could do the batch import and "apply to all" the client code and document type fields. Then after it's imported, go through the documents that needed individual attention.
