Updated Word Document, results cannot be found

This is my first time trying out the Update Word Document activity.  It is set to look at a group of folders, and ForEachEntry found, pull out the 5 digit number and place it in a Word document.  Very simple.  The problem I'm having is, the WF appears to complete properly, but the results cannot be found.  

  • (1) The White Paper on this indicates that I need to add an activity like Email or Attach Electronic Document to see the results.  When I follow the instructions for Email, there is no "Result File" to direct the activity to attach (see below). 

  • (2) In other LF Answers posts on this, they suggest the Attach Electronic Document activity, but again I have the same problem.  When it comes to configuring what file to grab, there is no item in the list to direct the activity to:

One thing I've noticed is, in my Update Word Document activity, there is a notation for Save Options (see below, far left bottom corner) which maybe is what I need, but in the configuration pane I can't seem to modify this.  You can see here, the Modifications area shows:  Options None but when I open that modification, there is no where to add an option.

Ahhh, the answer to my Save Options question is in the Advanced Settings (accessed by the Gear icon).

Try doing a Create Entry (make sure it's a document), followed by the Update Word document (select Server Attachment and point to your Word doc), and finally an attach Electronic Document.  In the Attach Electronic Document the source is going to be the activity Update Word Document result file and you want to Attach File to the outputted entry from the first Create Entry.

That then becomes your document you want to email.

Okay, this is what I have now (see 1st clip) and I'm getting a termination with error msg (see 2nd clip).  I suspect the error msg is because the Find & Replace is grabbing a part of the names of the 84 documents and is somehow trying to add those parts back into the name of the new document???

Your email is outside of the For Each loop, so the results file is no longer available. That's by design since your For Each loop can create multiple Word documents and the email activity wouldn't know which one to use.

Chris - I did try the Create Entry activity after my first post here.  I found the same thing, nothing to grab.  I'm still trying different combinations, but no success.

Miruna - I did consider whether or not the email activity (or the attach electronic file; or the create entry activities) should be inside the ForEach loop, but didn't want one document for each item checked (it's going to be grabbing data from 84 documents).  Are you suggesting that I can have the email activity in the loop and get just one final document as a result?

Based on the screenshot above, this workflow didn't do anything because it can't access the file on disk because the path exceeds Windows' maximum supported path size of 256 characters. You can try re-creating the attachment with a shorter name. (The full path is the location of the Workflow volume on disk, by default, C:\ProgramData\Laserfiche\WF\ServerData, plus a 3-level subfolder structure, plus the file name. So it sounds like either your Workflow Server has a long path for its volume or the Word document's name is fairly long). Please try renaming the Update Word Document activity to something shorter.

However, if this workflow worked as designed, it would replace the current entry name at each iteration and then overwrite the electronic document attached to the entry you created. So you'd only have the changes from the last document at the end.

What are you actually trying to do?

All I'm trying to do is obtain the numbers of the Bridge Files and place them in a list in the Word document.  After the WF would run, I would then grab all the numbers in the list and copy/paste them into the Bridge File Number field to make the field a pick list field.

I know I can accomplish this in other ways, but I've always wanted to see how this activity works so that if I see an area that our office might use that activity, then I'll be able to more quickly decide if this is a good option for that purpose.  (I learn best by seeing how things work and then applying that knowledge to other things.)

And the path of the document is less than 50 characters.  That is why I was thinking the numbers it is grabbing are somehow getting including in the renaming of the Word document.  How do I get it to only add the numbers into the one Word document?

I got this working and the answer to why it was giving me this "...specified path... too long..." message had something to do with the configuration in the Gear config page of this Activity.  Where it allows you to pick a name for the new document, it does not like any kind of token in there.

For Renaming, I tried:

  • %(Date#'yyyy'#) WF and Word Docs2
  • %(Date#'yyyy'#) WF and Word Docs - %(Instance URL)
  • %(Date#'yyyy'#) WF and Word Docs - %(Date)
  • WF and Word Docs - 4

 

It wasn't until I removed all tokens was it able to finish the WF without terminating:
