Enhancement Request: Aggregated Notifications Per Process

I am happy to see Aggregated Notifications available in Forms 10.2.  Thank you for adding it. To take this to the next level, it would be great if this could be enabled per process instead of a server as a whole.

There aren't any updates to this feature request. It is still on our backlog list.

What's your use case for aggregated notification per process?

There are certain processes that are more time sensitive than others and it would be preferred to have emails sent immediately to the user assigned to the user tasks. Other processes are not as time sensitive or may just have more emails involved and it would be better to notify users with an aggregated email.

It is in our to do list, but it may not be available in Forms 10.3.

For Forms 10.5, we plan to add support for setting reminder email for task so it will send remind email with individual task link to the currently assigned users if the task is not complete after created for certain duration, would this feature be an alternative solution for your issue?

@████████, no it would not be. That would only send an email per user task. We want the aggregated notification that is currently available in Forms Config, but to be able to enable that feature per process.

I do welcome the feature that you described for other reasons, but it will not satisfy this request.

So firstly, @████████ that new feature for reminders at the task level does sound great and could be very useful!

However, the global feature which is set at the forms configuration level was a great way to avoid having to create 'reminder sub processes' on important activities within the Forms process modeller. This blanket approach does mean that 'urgent' reminders for tasks still needed their own reminder sub processes because they would otherwise be left undone until the next aggregate email.

So while your proposed feature makes this MUCH easier to set up at the process level, in practice is won't scale well for processes with large teams dealing with time critical tasks.

For us, we typically configure Forms servers to send reminders Monday/Wednesday/Friday as we found every day really begins to annoy casual/executive users.

However, there are case management/customer experience teams with processes within businesses which need to be completed or actioned by end of day, every day like Customer Complaints for example. These processes require a more regular (daily, in some cases even hourly) aggregation.

The best of both worlds would be providing a Global Setting (where we would set for e.g. Mon/Wed/Fri) and then a "Global Override" at the process level e.g. Mon/Tue/Wed/Thu/Fri where we can also set an email importance flag based on the task priorities/due status.

Thanks for all your feedback, we do understand that the process level aggregated notification will bring more flexibility for the notification system, we will take your feedback into consideration when planning future work for Forms.

I am sorry this is still not supported yet and we aware this has been requested multiple times already, will evaluate it again when plan for future releases.
