Attaching Folder contents to an email only attaches links, not the files as required

Hi guys,

Using Workflow 10, I need to attach the files in a folder to an email to send to external (non-Laserfiche) users.  I've tested both the "Search Repository" and "Find Entry" activities to return the correct folder and in the email attachment settings selected "Attach a copy of the folder's contents".  The process returns the correct documents, however they are all Laserfiche links, not file/document attachments.  There don't seem to be any other options available for attaching the actual documents to the email.  Is there another approach I should be using?

In case this comes up, I have checked both the ""The selected entry is a.." settings for Document and Folder, the Document settings have the "Attach a copy of the document" option selected with the required settings, I then selected (and saved on) the Folder properties which is set to "Attach a copy of the folder's contents".

Hi Sandy,

I found that I had to refresh the attachment settings after creating the folder attachment in the email.  See how you get on with the following:

  1. Double-click the attachment link in the email activity to open the "Edit Attachment" window.
  2. In the bottom pane it will show "The selected entry is a: ... Folder", change the selection to "Document" and click the Properties link.
  3. Ensure that "Attach a copy of the docment" is selected, check that any document specific requirements are selected and click "OK".
  4. Change the selected entry option back to "Folder" and click the Properties link.
  5. You will see the same details as per your screenshot.
  6. Click OK
  7. Click OK again to close the Edit Attachment window, then publish and test your workflow.

 

That's what seemed to resolve it for me.  Hopefully it does the same for you.

Sorry guys, false alarm.  Not sure what the issue was, but I went back over all the settings, disabling and reenabling them, re-published the Workflow, and now it's working as required.

I am experiencing the same problem described above.  When the email attaches links not the document.  The screen below is different than it used to be.  In version 9 you could specify the document type to attach (PDF, Tif).  I've redone this and republished a couple of times with no luck.  Thanks, Sandy

Thanks for this post.  I've been struggling with this issue myself and glad I found your workaround.  Thanks!!

Laserfiche,

I'm wondering if this issue could be fixed in future releases.  The workaround does work but is very cumbersome and seems like it should not be necessary.

This was caused by an issue with the sizing of the dialog where not all options were visible in 10.0. This has been fixed in 10.2 and you should be able to set document properties from the folder properties dialog for your attachments.

This worked for me as well.  However, the WF is sending me two copies of the document I selected in Find Entry.  Any ideas?
