Feature Request - WebAccess Import Screen improvement

In the actual latest version of WebAccess V10.1.2, when importing a new document, the import screen is not resizeable.

While importing, there is a need to look at the document, read it, find key information and fill in fields info based on information within that document. So this would be great to have the ability to switch to a better view (for peoples that requires it) where it could either use the DocumentViewer interface, or allow resizing that import screen to get a better access to the document.

HI Daniel,

At the import screen where you enter fields and templates, it is not possible for document viewer to show document as it is not imported yet. It is advisable to open document in windows/ mac in advance and get all the information you need for fields and as such. 

As far as making the import window re-sizable, it depends on your browser zoom level. In windows if you hold Ctrl+mouse wheel, you can manually change zoom level for chrome browser. That's one way to make things bigger.

I believe you're referring to the Import Preview feature, which allows users to view a preview of their image side by side with the General and Fields tabs in the import dialog, correct?

 

The Import Preview pane does have the ability to resize. You can resize it by grabbing the center divider between the tab and the preview pane. However, the resizing is somewhat limited by the size of the dialog itself. Note that we do have zoom functionality so that users can zoom in on the image being imported.

 

Are you finding that the zoom functionality isn't effective enough for users? If so, could you provide us with a sample image (through here or support) that demonstrates the Import Preview limitations? 

 

We're always open to improving existing functionality. It's possible we could render the dialog to make better use of the space, or tweak the zooming functionality, depending what users are struggling with.

This is the preview screen I was talking about.

Some of the large organization I'm working with lately need to be import manually unstructured documents and this import pre-visualization screen will be the ideal interface to work with. 

That pre-visualization screen can't be resized, and there is only a X to close it.  I've seen we can move the middle vertical bar to extend the image size but I would like to maximize the view space.  Also, when you extend the image view, there's less space for metadata.  If we try to change the browser zoom level to maximize the Import document display, template metadata field will only show 3 to 4 fields so this is not a good idea here.

Here are what I would suggest:

- Resizeable Pre-visualization screen (the whole import screen, not just the image area).

- Or, move that Import pre-visualization screen into it own bowser TAB just like the Document Viewer do.

- Or, use the Document Viewer interface for the use of the Import (because all image tools are in that Document Viewer interface), but it would need to show it’s an Import screen so that users doesn't think it's a normal document viewer (when they leave their station for a moment and when they come back, they don't remember what they were doing before... :)

- In that pre-visualization (Image viewing toolbar), we should have access to all (icons/image manipulation tools) that are present in the document viewer interface (Fit width, fit Window, Fit Height, etc...) Rotate, go to the next page (Go to page number X), and all of this, accessible for Image documents and PDF document import. I have not yet worked with the MS Office Web Document viewer integration yet so I can't comment on this one.

- The Zoom Tool doesn't function the same as in the Document viewer screen.  In the document viewer interface, you can select a starting and ending point you want the zoom to happen.  Peoples are expecting this tool to function that way.

This last one may be looked at for a future release but the above suggestions should be looked at for a sooner than later revision.

- Also, it would be nice to have the ability to manually call an OCR of a specific page to allow dragging text from document side/text view... to metadata fields.

I see how the import dialog can be limiting for users who need to do more complex tasks like you described. However, I suspect that putting the full document viewer within the import dialog (or creating a new tab for the imported document) would negatively impact the user experience in other, simpler cases.

I'm wondering if there might be an alternate solution that would allow the user to use the normal document viewer, or something with an equivalent view and the features you mentioned - such as Scanning. Can you share more about why users would be leaving/forgetting what they're doing in the middle of importing? For example: Does the data input take a really long time for a single document? Do they import a bunch of documents at once? Does a single group of documents get imported to many different folders?

Hi Tessa,

My comment about "users would be leaving/forgetting what they're doing in the middle of importing" was mainly refering to normal users daily behavior at the their jobs, they often get disrupted in their daily work flow and if you have that Import screen identical as the document viewer screen, was wondering if this would get the user confused because of the two interface sharing the same screen layout.  Right now, it's pretty clear and we recognize the import screen layout.

That being said, the import screen could be staying as is if you still want to provide simpkle input interface but if you add a button somewhere to extend layout and functionnality, and user can select to save that layour to be used as their default layout, then both could be supported.

I've seen users working at importing to LF WebAccess unstructured documents and the challenge they have is to find all info that should fit into fields.  Info can be on the first page or other pages.

You will probably say, why can't users just import the document in, then open it with the Document Viewer and let them do their job there.  Well, its always our job when designing an integration, setting up Workflows starting rules (On document creation or on document Changed) and also making sure Workflow wont start for nothing (Hard to cover every situations), and trying to reduce the number of steps the user need to go through when performing his task.  If I let users import without setting up anything, then some users may apply the Template anyway, and soem other may not or ever fill in some fields and my WF starting rule may trigger, or not... AND then, the user needs to open the document using the Document Viewer and continue searching for info, fill in fields and save.

I am suggesting this so users have all the right Tools available in that import screen.

Let me know if I was not clear, but seems clear to me (in my head)  smiley
