Laserfiche Forms- Workflow Automation

Hello,

 

I have an employee database that includes the employee's supervisor, manager, & VP. The travel request form workflow should be as follows: Employee submits form > goes to Manager for approval > goes to VP for approval > goes to HR as final step. I am trying to automate this process so that it automatically goes to the next person (as outlines) for approval. What options do I have to accomplish this?

Hi Jorge,

You should check out the Forms Business Process Library. It contains a sample Travel Request business process. You can use this out of the box, or use it as the basis for your own process.

Do I just need to upgrade to Forms version 10.1 to access the sample processes?

Thanks. I have installed the latest version of Laserfiche Forms and can now access all the sample processes provided. However, on the Travel Request Form, it is only routing to /_initiator on all processes. Given the database that I have (described above), how can I automate the routing to automatically go to the Manager and VP?

Hi Jorge, 

You can give your Forms process access to your external database and then you'd be able to perform a lookup to automatically grab the employee's manager/VP information (more detail how here).

You'll also need to add a manager and VP field to the form, which can then be populated with the lookup. Go under the "Lookup Rules" tab in Forms to configure this. Now when you configure a task in the process diagram, you can assign the task to the appropriate process participant.

Would being able to retreive the employee's Manager and VP names and email from the lookups be sufficient for the form to route to them after form is submitted by employee?

Assuming the employee's manager and VP are Forms authenticated users or named users (more info here), and they each have their own respective task in the process diagram - yes, the lookup will allow you to route to the appropriate approver. (Go to the user task -> "Assign" tab ->set "Assign task to" to users -> click the ">" to bring up a drop down of variables -> select the variable associated with the manager/VP info)
